Training Academy

Are student employees required to complete the mandated compliance training courses before they begin working?

No. Training Academy account data is populated from Banner. Student and other employees won’t be able to access the assignments until the hiring department completes all of the paperwork necessary to add their information to the payroll/human resources system. Employee data from that system is loaded into Training Academy weekly, typically on Tuesday mornings.

I’m a UA student or employee. How do I complete the Hazard Communication Update course in Training Academy?

You will not be able to access the course until it has been assigned to you.

Before accessing Training Academy, or to address any technical problems you might experience, you should ensure your computer and browser are ready to use Skillsoft products by following the instructions in the Online Compliance Training Quick Start Guide (PDF) or this FAQ entry.

When your computer and browser are ready:

1. Access Training Academy via the link in the notice or the Training Academy page of the HR Learning & Development website.

2. Log in with your myBama ID and Campus Wide Identification Number (CWID).

4. Select the Run Course arrow next to Hazard Communication Update.

5. Select Yes to agree to the Conditions of Self-Monitored Training.

7. Select which version to play: Standard or Web Accessibility. Unless you use a screen reader or other assistive technology, choose Standard.

8. The course player will open in a new window. Use the Skillsoft Course Player navigation buttons to move through the course.

A sample course is pictured below, along with a description of each course player button and its function(s).

  1. Table of Contents – Access to all instructional content.
  2. Progress & Tests – Information about your progress in the course, including test status and scores and your progress for individual lessons or topics.
  3. Begin Course / Return to Bookmark / Next Page – Main navigation button. Used to begin the course, resume where you left off, or move to the next page.

When I attempt to run or play a course, I see a window that says “document.write.”

Skillsoft Customer Support advises that “document.write” messages like the one pictured below usually indicate the presence of a third party software program called BrowserSafeguard.

Some consider BrowserSafeguard to be malware, so we recommend you contact your department’s IT staff or the IT Service Desk if you see this message when attempting to run or play a course. They can determine if the program needs to be uninstalled or disabled and help do so appropriately (removing the program without making additional changes to your browser settings can result in internet connectivity issues).

I received an overdue notice, but all my assignments appear to be complete.

After logging in to Training Academy, be sure to select Learning Plan, rather than Completed Training.

You might try selecting Learning Plan from the Training Academy home page, rather than attempting to click on the link at the top of the left column.

The remaining assignments will then appear under Overdue Courses.

Are students required to complete the annual mandated compliance training courses?

All student employees must take annual mandated compliance training on Child Protection Policy, Harassment, Hazard Communication, and, beginning in fall 2014, Title IX.

Additional training may also be assigned based on employment status, work environment, or course enrollment (for example, students enrolled in certain courses must take Laboratory Safety courses).

Students not employed by UA are required to complete Child Protection Policy training if they are involved with UA activities interacting with children under the age of 18. Students may also be required to complete Child Protection Policy training due to their involvement in other UA activities. For example, presidents of registered student organizations may be asked to complete training as part of the student organization registration process.

Do I have to complete the entire course at one time?

No. If you need to exit before you complete a course, use the Exit button(s) to exit the course player. The last frame you were on will be bookmarked. When you enter the course again, you will not have to start at the beginning and can instead select “Return to Bookmark.”

Be sure to use the Exit button(s) to exit the course player; otherwise, your progress may be lost.

Do I have to pay employees for training time?

For non-exempt (hourly paid) employees, including student employees, all time spent completing required training must be accurately reported as hours worked.

How can I verify that UA employees or students have completed the required training?

You may ask them to provide a certificate or proof of completion.

HR Partners receive and share annual mandated compliance training status reports with department contacts every other month. If you are not receiving training status information for employees you supervise, check with the person in your area who handles HR matters or ask your HR Partner to whom in your area the information is sent.

How do I access Training Academy?

The Training Academy site can be accessed via the Training Academy page on the HR Learning & Development website or at http://www.gotrain.net/Academy/CommonUI/login.asp?orgid=296002.

UA employees login in with the following:

  • User Name: myBama user name (ex. jsmith)
  • Password: CWID

Users are notified of required training through their supervisors and via email. These email notices include a link to and instructions for accessing Training Academy, along with information about course requirements and due dates. Training notices are sent to official UA email addresses ending in @bama.ua.edu (faculty and staff) or @crimson.ua.edu (students).

You will not be able to access courses in Training Academy until they have been assigned to you.

How do I add an address to my “safe senders” list?

To ensure delivery of notices from our online learning systems, we suggest adding these addresses to your contacts or “safe senders” list:

Not sure how to add a “safe sender”? Here are directions for some email clients frequently used at UA. If your email client is not listed below, try searching online for the name of your email client and keywords like “safe sender,” “whitelist,” or “not junk.”

How do I disable my browser’s pop-up blocker or change its settings to allow pop-ups for Skillsoft sites?

In order to use Skillport and Training Academy, you must disable your browser’s pop-up blocker or change its settings to allow pop-ups for these sites:

  • skillport.com
  • skillwsa.com
  • gotrain.net

We recommend you follow all of these instructions to make sure your computer and browser are ready to use Skillsoft products, but here are some quick links to instructions for managing pop-up settings in Chrome, Firefox, Internet Explorer, and Safari.

Chrome: Allowing pop-ups through the address bar   or  changing the advanced settings to allow pop-ups.

Firefox: Pop-up blocker settings

Internet Explorer: Change security and privacy settings for Internet Explorer (select Pop-up Blocker)

Safari

  • Depending on which version of Safari you are using, you can turn pop-up blocking on and off via Safari menu > Block Pop-Up Windows or Safari menu > Preferences > Security > Block Pop-Up Windows.

PC users may also be able to allow pop-ups on a one-time basis by holding down the Ctrl key while clicking on the link that opens the pop-up window.

In some cases, an administrator account may be required to make or save  these changes. If you can’t or don’t wish to make changes to your computer, you are welcome to use Skillport and Training Academy in the HR Learning & Development computer lab. How do I make sure my computer and browser are ready to use Skillsoft products?

Be sure to check with your department’s IT support staff or the IT Service Desk before making any changes to your University computer, especially before installing or updating Java (this is particularly important for Banner and Blackboard users). In some cases, an administrator account may be required to make or save changes. Computers and browsers used for this training must meet the minimum system requirements of the Skillsoft online learning systems. Before accessing Skillport or Training Academy, or to address any technical problems you might experience, you should ensure your computer and browser are ready to use Skillsoft products by doing the following:

1. Pop-up Blocker must be allowed for you to access the Skillsoft course, you may find these additional instructions helpful: How do I disable my browser’s pop-up blocker or change its settings to allow pop-ups for Skillsoft sites?

2. Follow these instructions to optimize your browser for Skillsoft products. Along with skillport.com and skillwsa.com, be sure to also add gotrain.net to the list of trusted sites, allowed sites, or exceptions.

Mac users only

Mac users may also need to adjust their Security & Privacy options to install or update Flash or Java and to allow Skillsoft and Java applications to open. Lion (10.7), Mountain Lion (10.8), and Mavericks (10.9) users go to Apple menu > System Preferences > Security & Privacy > General, then select “Allow applications downloaded from Anywhere.” It is recommended you change this setting before you attempt to make the other changes to your computer and restore it to  “Mac App Store” or “Mac App Store and identified developers” after completing training.

Skillsoft supports most versions of Mac OS X and Safari 3.0.4 and later. However, due to the additional steps required to configure Macs to use Training Academy, some users find it easier to complete the training on a PC, a virtual machine, or a Windows partition.

Messages and security warnings

While preparing for and completing online training, you may see messages or security warnings asking if you want to run, accept, or allow applications from Skillsoft, Skillport, Oracle, or Java. These messages will differ depending on the computer and browser you use, but you will need to allow the applications in order to successfully use the training system and can choose to allow them just once or always.

 As of September 2015, the majority of the courses in the Training Academy learning management system (used for compliance training) are now running Java-free.   A small number of EHS courses still require Java, but will be updated by January 2016.

How do I make sure my inbox is ready to receive training notices?

Employees are notified of required training via email notices from the Training Academy system.

These email notices include a link to and instructions for accessing Training Academy, along with information about course requirements and due dates. Overdue notices are also sent each night to users who had assignments become overdue on the previous day.

Training notices are sent to official UA email addresses ending in @bama.ua.edu (faculty and staff) or @crimson.ua.edu (students). While it’s not possible to change the address to which training notices are sent, faculty and staff employees may request that email sent to their official UA email address be forwarded to another UA email address (such as a department, college, or division account). Contact the IT Service Desk for more information about email forwarding.

How long will it take to complete the mandated compliance training courses in Training Academy?

All faculty, staff, and student employees must take annual mandated compliance training on Child Protection Policy, Hazard Communication, and, beginning in 2014, Harassment.

The format and expected duration for courses associated with these topics is listed below. Your actual completion time will vary, depending on which courses you are assigned and how quickly you progress through each course.

I already took that course! Why do I have to take it again?

In order to comply with certain state and federal requirements as well as University policy, all faculty, staff, and student employees must complete mandated compliance training on an annual basis.  All employees are currently required to complete a course and/or update on the following topics each year: Hazard Communication and Harassment.  The Harassment training is due 12 months from the date you last completed that training.

Additional recurring training may also be assigned based on employment status, work environment, or course enrollment.

I don’t want to install Java on my computer.

Java must be installed and enabled to use Skillport and Training Academy. We recommend you check with your department’s IT support staff or the IT Service Desk before making any changes to your University computer, especially before installing or updating Java (this is particularly important for Banner and Blackboard users). If you or IT staff have concerns about Java, you are welcome to take courses in the HR Learning & Development computer lab. Please contact us at 205-348-9700 or HRLearningandDevelopment@ua.edu so we can ensure it is available to you.

Skillsoft is “actively working to reduce [their] dependency on [Java]” (Skillsoft Position on Java).

I got a required training notice several weeks ago but now I can’t log in and/or access the courses. What’s wrong?

Are you currently active on payroll?

This sometimes happens when an employee’s status in the Banner payroll and human resources systems changes after the assignment was made but before it was completed. For example, someone employed during the Spring term who receives, but doesn’t complete, a Training Academy assignment in February won’t be able to access the training system and complete that assignment in July if they aren’t active on payroll during the Summer term. The course(s) will be available when the employee’s payroll status is active again.

To avoid this problem (and those pesky overdue notices), it’s best to complete required courses as soon as possible after receiving a training notice.

If you are active on payroll, make sure you are attempting to log in to the correct site and with the correct username and password by following these instructions. If you are still unable to log in, please contact HR Learning & Development at 205-348-9700 or HRLearningandDevelopment@ua.edu.

I thought I finished a course, but the Training Academy system shows the status as “Incomplete.” Why?

The system may not record completion if your computer and browser are not  properly configured to use Training Academy. Before accessing the training system, or to address any technical problems you might experience, you should make sure your computer and browser are ready to use Training Academy.

If the “course” is a PDF document:

  • You may not have selected Confirm in the box that appears after the document is closed.

In 2014, employees in Academic Affairs will be assigned annual mandated compliance training the last week of February. Employees in all other divisions will be assigned the training the first week of May.

Assignment dates vary for any additional training assigned based on employment status, work environment, or course enrollment.

If you believe you should have received an assignment, make sure you are looking in the correct place:

I tried to access Session II of the Child Protection Policy course, but the “Run Course” button is red, and nothing happens when I click on it. Why?

The Child Protection Policy course has two sessions. Session I – Protecting Children From Abuse contains the course content and Session II – Child Protection Certification and Acknowledgement is a brief online form. You will not be able to access Session II until after you complete Session I.

If you believe you have completed Session I but are still unable to access Session II, you may not have viewed all of the content in Session I. Return to the course, then select the Progress & Tests tab. The status column indicates your progress in the individual topics.

I’m a new employee. I was told I have to complete mandatory compliance training within the first 30 days on the job, but I can’t log in and/or access the courses. What do I do?

I’m a UA student. I was told I have to take the Child Protection Policy course. What do I do next?

Student employees must complete Child Protection Policy training as part of the annual mandated compliance training requirement.

Other students must complete Child Protection Policy training if they are involved with UA activities interacting with children under the age of 18.

Students may also be required to complete Child Protection Policy training due to their involvement in other UA activities. For example, presidents of registered student organizations may be asked to complete training as part of the student organization registration process.

Now that it’s 2015, do employees who didn’t complete previous mandated compliance training assignments still have to complete them?

Yes. Those individuals who have not yet completed any previously assigned mandatory courses  are still expected to complete them in addition to the 2015 assignments. Previous assignments will remain in the employee’s Learning Plan in Training Academy and will continue to appear as overdue on training status reports until they are completed.

One of the questions in Session II of the Child Protection Policy course said I have to fill out a form if I am 18 or younger. What do I do?

Learners who are age 18 or younger must complete a form and have it signed by a parent or guardian. We check the responses to Part Two on a daily basis, and, when someone indicates that they are age 18 or younger, we email them the Child Protection Policy Certification and Authorization form and instructions for completing it.

Why did we receive a memo about annual mandated compliance training addressed to a former employee?

Hiring departments should initiate a terminating PA to remove former University employees from the Banner payroll and human resources systems or contact their HR Partner regarding employees who now work in a different area.

What is Training Academy?

When are the required courses due, and when do overdue notices go out?

When I select “Run Course,” I get a website error message.

Messages like “The website is unable to display the webpage” or “The webpage cannot be found” usually indicate a high number of users trying to access the same content at once. This is more likely to happen when initial and overdue training notices go out during the annual mandated compliance training period.

If you see a website error message, please try again later; traffic typically dies down within a few hours. If the problem persists, please notify HR Learning & Development at 205-348-9700 or HRLearningandDevelopment@ua.edu.

When will I receive my annual mandated compliance training notice?

In 2014, employees in Academic Affairs will receive initial training notices the last week of February. Employees in all other divisions will receive initial training notices the first week of May.

Within each division, not all training notices will go out on the same day. Assignments will be staggered throughout the week to better accommodate increased traffic on the training system.

New hires will be assigned the required training and receive the email notification within two weeks of their hire date once they’ve been added to our payroll system.

Why do employees no longer working in my area appear on the training status report?

Training Academy account data is populated from Banner. Information from that system is loaded into Training Academy weekly, typically on Tuesday mornings.

Employee accounts remain active in Training Academy until the user no longer has an active assignment in Banner. While the Training Academy account is active, users continue to receive email training notices and appear on training status reports. Hiring departments should initiate a terminating PA to remove former University employees from the training system or contact their HR Partner regarding employees who now work in a different area.
